Meeting notes and follow-ups

Every meeting summarised and every task assigned

How it works

  1. Meeting recordedYour video meeting is recorded.
  2. TranscribedThe recording is turned into text.
  3. Summary and action itemsA short summary lists who agreed to do what.
  4. Tasks in your project toolEach action becomes a task for the right person.

A worked example

  1. A marketing agency in Kallang holds its Monday client call on Zoom. Everyone on the call is told at the start that it is recorded.
  2. After the call, the recording is turned into a transcript.
  3. A short summary lists the decisions, with the actions: Mei Ling sends the revised quote by Wednesday, Daniel books the photo shoot.
  4. Each action appears as a task in the agency's ClickUp, assigned to the right person with the due date. Nobody has to retype the notes.

Before and after

Before

After

Someone is left taking notes and misses half the discussion.

Everyone listens, and the summary arrives after the call.

Actions live in people's memories and are forgotten by Thursday.

Each action is a task with an owner and a date in your project tool.

Clients ask what was agreed, and the answer takes a search through chat history.

Every meeting has a written summary you can find and share.

What the AI does

  • Transcribes the recording of your video meeting.
  • Writes a short summary of what was decided.
  • Lists the actions and who agreed to do each one.
  • Creates the tasks in Notion, ClickUp or Asana.

What your team keeps

  • Telling participants that the meeting is recorded.
  • Reading the summary and correcting anything that is wrong.
  • Deciding what is shared with clients.
  • Doing the work in the tasks.

Questions

How much does the meeting notes and follow-ups system cost?

Setup starts from S$2,499. The monthly fee is set by your volume and agreed on the call, before anything is built. Usage costs, such as AI processing and transcription, are billed on top of the monthly fee. Subscriptions you already pay for, such as Zoom and ClickUp, are billed to you by those vendors. The minimum term is three months, and after that you can cancel any time.

Where does my data go, and does this meet PDPA?

Recordings and summaries stay in your own tools, such as your Zoom account and your project tool, wherever possible. The written scope says where everything is stored and lists any personal data the system handles and why, so you can check it against your own PDPA obligations. Your data is never used to train AI models.

What happens when the AI does not know who owns an action?

It does not pick someone. An action with no clear owner is listed as unassigned in the summary and in your project tool, so a person on your team assigns it. The same applies when a name is unclear in the recording.

How long does setup take?

Usually about two weeks. We connect your video tool and your project tool, agree the summary format with you, and test it on a real meeting before it goes live.

Do people on the call have to agree to being recorded?

Meeting participants should be told that the call is recorded, and your own rules and the PDPA apply to that. We set up the meeting so the notice is given, and we put the wording in the written scope for you to check.
