Inbox triage

Email sorted, urgent mail flagged and routine replies drafted

How it works

  1. New emailA message arrives in your inbox.
  2. Sorted and labelledIt is labelled by type and urgency.
  3. Routine replies draftedDraft replies are prepared for routine questions.
  4. You send or editYou read each draft and send it or change it.

A worked example

  1. A property agency in Orchard receives about 80 emails a day to a shared Gmail inbox. At 8am the system reads the overnight messages.
  2. Each one is labelled: a viewing request, a landlord asking for an update, a lawyer's letter, a newsletter. The lawyer's letter is flagged as urgent.
  3. For the viewing requests, the system drafts a reply that offers two available slots and keeps your usual wording.
  4. The agent opens the inbox, sees the urgent letter at the top, reads the drafts and sends them, changing one. Nothing goes out unless a person sends it.

Before and after

Before

After

Urgent messages sit among newsletters until someone scrolls far enough.

Urgent mail is flagged and sits at the top.

The same reply is typed again and again.

A draft is ready for each routine question, in your wording.

The first hour of the day goes on sorting.

The inbox is already sorted, and the day starts with decisions.

Questions

How much does the inbox triage system cost?

Setup starts from S$2,499. The monthly fee is set by your volume and agreed on the call, before anything is built. Usage costs, such as AI processing, are billed on top of the monthly fee. Your email subscriptions, such as Google Workspace or Microsoft 365, are billed to you by those vendors. The minimum term is three months, and after that you can cancel any time.

Where does my data go, and does this meet PDPA?

Your email stays in your own mailbox wherever possible, and the system works on the mail where it already sits. The written scope says where everything is stored and lists any personal data the system handles and why, so you can check it against your own PDPA obligations. Your data is never used to train AI models.

What happens when the AI does not know how to reply?

It does not draft a reply. It labels the email, marks it as needing a person, and leaves it for you. A draft is only prepared for the routine questions you have agreed, and you always read it before it goes.

How long does setup take?

Usually about two weeks. We agree the labels and the urgent rules with you, write the first set of drafts from your past replies, and then run it for a few days beside your normal routine before you rely on it.

Can it read private or sensitive email?

You choose. We can exclude senders, folders or labels that the system must never open, such as lawyers, HR or personal contacts. Those rules are written into the scope.
