Review and feedback loop

Every customer is asked for feedback and a review, and low scores reach you straight away

How it works

  1. Visit or purchase doneA visit or purchase is marked as complete.
  2. Feedback request on WhatsAppThe customer is asked how it went.
  3. Review link sent to every customerEvery customer gets the Google review link, whatever their score.
  4. Low scores alert your teamA low score alerts you so you can put it right.

A worked example

  1. A restaurant in Tiong Bahru marks a table as paid. The customer's phone number was taken at booking.
  2. Two hours later the customer gets a WhatsApp message asking how the meal was, on a scale of one to five.
  3. Whatever the score, the customer is then sent the link to the restaurant's Google reviews. Every customer gets the link, happy or not.
  4. One customer scores the meal two out of five. The manager is alerted at once, with the comment, and can phone the customer the same evening.

Before and after

Before

After

Reviews arrive only when someone remembers to ask.

Every customer is asked after every visit.

You hear about a bad experience weeks later, from a public review.

A low score reaches you the same day, so you can put it right.

Staff chase feedback by hand and it is inconsistent.

The request goes out the same way every time.

What the AI does

  • Sends a short feedback request on WhatsApp after each visit or purchase.
  • Sends the Google review link to every customer, whatever their score.
  • Alerts your team when a score is low, with the customer's comment.
  • Drafts replies to Google reviews for your approval.

What your team keeps

  • Contacting unhappy customers and putting things right.
  • Approving every public reply before it is posted.
  • Deciding what counts as a low score and who is alerted.
  • Never confirming a customer's identity or visit in a public reply, which matters most for clinics.

What is included

  • Connection to your sales or booking records to know when a visit is done.
  • A feedback message and review link on WhatsApp.
  • Low-score alerts to the person you choose.
  • Draft replies to reviews for your approval.
  • A simple sheet that records scores over time.
  • Fixes and adjustments during the first month after launch.

What is not included

Questions

How much does the review and feedback loop cost?

Setup starts from S$2,499. The monthly fee is set by your volume and agreed on the call, before anything is built. Usage costs, such as AI processing, are billed on top of the monthly fee. Meta's WhatsApp message fees are billed to your business by Meta, and subscriptions you already pay for remain yours. The minimum term is three months, and after that you can cancel any time.

Where does my data go, and does this meet PDPA?

Scores and comments are kept in your own tools, such as Google Sheets, wherever possible. Reviews themselves live on your Google Business Profile. The written scope says where everything is stored and lists any personal data the system handles and why, so you can check it against your own PDPA obligations. Your data is never used to train AI models.

Do unhappy customers get the review link too?

Yes. Every customer gets the link. We do not hide it from people who scored low, because Google's policy forbids selecting who may leave a review. The difference is that a low score also alerts your team, so you can contact the customer.

Can a clinic use this?

Check your professional body's rules and the Ministry of Health guidance on testimonials and advertising first, because clinics in Singapore face stricter limits than most businesses. The system can be set to collect private feedback only. If you do use public review requests and replies, they follow those rules: we do not offer anything in return for a review, and public replies never confirm that a person was a patient or mention their treatment. Replies are drafted for you to approve, so you stay in control of what is posted.

What happens when the AI does not know what to say?

It does not post anything. Draft replies to reviews are held for your approval, and a feedback message that raises something unusual is sent to a team member to handle.

How long does setup take?

Usually two to three weeks from the call. We connect your visit records and Google Business Profile, agree the wording with you, and test before it goes live.
