Tuition Centre WhatsApp Chatbot for Parent Enquiries
A parent's message about a Primary 5 maths class can arrive at 10pm on a Sunday, and the front desk sees it on Monday morning. What can a WhatsApp chatbot answer for a tuition centre?
The routine questions with one right answer in your timetable, fee list or policies: levels and subjects, class days and times, which branch, fees, trial classes, make-up lessons and holiday schedules. Anything that needs a judgement about a particular child goes to a person.

How does it book trial classes?
It asks the parent what the trial needs, offers the open slots, and confirms the one they choose. We connect the assistant to your calendar or booking system during setup, so it only offers slots that exist. You approve the questions it asks before it goes live. We recommend keeping them to what a trial needs, such as the level and subject, the preferred day and branch, the parent's name, and the child's name for the class list.
What does the assistant hand over to your staff?
We write the handover rules with you. We recommend they cover anything that needs judgement, or that touches a child's personal circumstances:
- progress, results and placement questions
- complaints, refunds and fee disputes
- learning needs, health or family matters
- any question it cannot answer from what you have given it
- any parent who asks for a person
The chat goes to your staff with the conversation attached. We recommend the assistant tells the parent when a staff member will reply, using a time your team can keep. WhatsApp's own rules require a route to a person. Meta's WhatsApp Business Messaging Policy says a business using automation "must also have available prompt, clear, and direct escalation paths." Meta's examples of these routes include handing the chat to a person, a phone number and an email address.
How is Kai Dojo set up for a tuition centre?
We build it, tune it and hand over the conversations it cannot handle. Kai Dojo runs as a 12-month package.
- We map how enquiries are handled today. We read a sample of your past enquiries and talk to whoever answers them. We note what parents ask, where they stop replying and what gets them to book a trial.
- We build the replies and rules. We write the replies, the questions it asks and the handover rules, and connect it to your calendar or booking system. You approve every script before it goes live.
- We tune it every week for the first month. We review the conversations, correct the answers it got wrong and rework the ones that lost the parent's interest. You see every correction.
- Your team takes the hard ones. Anything it cannot answer, and anyone who asks for a person, goes straight to your staff with the conversation attached.

What results can a tuition centre expect?
We cannot tell you yet, and we will not borrow figures from another industry.
Before go-live, we record your current numbers. For a tuition centre, we suggest these:
- new enquiries a week, and how many arrive outside office hours
- how long a parent waits for the first reply
- trial classes booked from WhatsApp enquiries
- trial students who go on to enrol
If you already track enquiries in tuition centre enquiry management software or a spreadsheet, we recommend taking the baseline from there. If not, your WhatsApp history can supply it. We compare against those numbers after go-live. The assistant will get some answers wrong in the first weeks, and the weekly tuning is there to catch them.
How do you protect children's data under the PDPA?
Children's details need more care than adults'. The PDPC, the agency that enforces the PDPA (Singapore's Personal Data Protection Act), puts it this way in its Advisory Guidelines on the PDPA for Children's Personal Data in the Digital Environment: "The personal data of children is generally considered to be sensitive personal data and must be accorded a higher standard of protection under the PDPA" (para 6.1).
Those guidelines, issued on 28 March 2024, treat anyone below 18 as a child (para 2.3). Where a child is below 13, "the organisation must obtain consent from the child’s parent or guardian" (para 4.5). The PDPC also notes that an organisation in an education setting may decide it is more prudent to get a parent's consent for a 13-year-old (para 4.3). The guidelines are written for online products and services likely to be accessed by children, with EdTech (technology-aided learning) as one example (para 2.1). The PDPC says not every section applies to every organisation (para 1.2). In our view, an enquiry line that mostly talks to parents sits at the edge of that scope, but the standard is a sensible one to meet.
We recommend agreeing these points with us in writing before go-live:
- the assistant deals with the parent, and asks only for the child's details a trial needs
- it does not ask for NRIC (identity card) or birth certificate numbers, school reports or medical details, and hands the chat to staff if a parent sends them
- a rule for students who message directly, for example answering timetable questions but leaving enrolment and payment to a parent
- how long chat logs are kept, and when they are deleted

What happens when the assistant gets something wrong?
It will, occasionally. These are the cases we plan for before go-live.
- Your fees or timetable change. The assistant answers from the fee list and timetable you approved. Update them before you announce a change, or it will quote the old version.
- A class fills up. It offers only the slots open in your calendar. If the calendar is out of date, so are its answers.
- An upset parent messages at 11pm. We recommend it acknowledges the message, says when a staff member will reply, and flags the chat for the morning.
- It does not know the answer. It says so and hands the chat to your staff.
Do you need a WhatsApp chatbot for your tuition centre?
Not every centre does. If you run one branch, receive a few enquiries a week and someone replies within the hour, quick replies in the WhatsApp Business app may be enough. They are saved messages you can send in a few taps. If most of your messages come from existing parents about their child's progress, an assistant has little to do, because those conversations belong with the teacher.
It suits centres with a steady flow of new-parent enquiries, many of them outside office hours, where trial bookings slip away because nobody replied in time.
What does a tuition centre WhatsApp chatbot cost?
You get a fixed quote for the 12-month package after a call, once we have seen your enquiry volume. On top of that, Meta, which owns WhatsApp, charges per message. Since 1 October 2026 that includes replies to customers, after a free allowance of 1,000 replies a month for each business number.
